LDEI Hawaii Board Meeting

Present: Holly El Haiji, Satomi Goo, Kay Tokunaga, Kristin Jackson, Cheryl To. Gida Snyder joined via phone
Holly called meeting to order at 4:09pm.
Kristin moved to approve last meeting minutes and Kay seconded.
ROOTS RUN DEEP Update
AN EVENT WITH CHEFS VIVIAN HOWARD AND ED KENNEY : Kristin Jackson
Finally, all has been confirmed. Vivian is bringing two people. Before we were told it would be just one person. Question is if we would provide additional money for the second person’s travel expense. We agreed to provide $2,000 towards travel expense.
Vivian and her people will be staying at the Surf Jack (an Ashton Hotel where Ed Kenney has his restaurant). The hotel will put in money towards accommodations in support of Vivian doing a book signing or some other promotional event with the hotel.
Ed Kenney will film part of the event for his tv show. Vivian will do promos to help promote event.
Kay got the liquor license. We still don’t have a wine vendor. Menehune is donating water.
Vivian will sign 100 of her books which will be delivered by March 1st to Hale Ku’ike where Dorothy Colby works. LDEI pays for books at cost. Signed books can be purchased by Dames at a discount while Roots guests pay full price.
HOLIDAY GIFT BASKETS: Kay Tokunaga
Chef Zone space was perfect and we hope they will let us use the space next year. There were some snafus like customers calling Chef Zone about pick up. Chef Zone staff didn’t really know what was going on. But, CZ customers did see the baskets and wanted to buy them…next year. Holly said that the packaging cost seemed high, so we should look to bring costs down for next year. We might also consider getting a delivery service. Kristin said that it was a hassle to deliver the baskets and she would gladly pay an additional $10-$15/basket to get them delivered. Profit was $4305
NOTE: Kay found some duplicate cost entries (stickers and card inserts) after the meeting. Corrected profit is $4,305.46

The program is working out well for us. However, Kay said that the monthly charge is $45 which she thought was supposed to be less. Cheryl said she would check into past notes regarding charges.
TREASURER’S REPORT: Kay Tokunaga
Holly needs to be added as a check signer and Kathi removed.
All Dames have been reimbursed for the gift baskets.
Kay asked for approval to transfer $3659.64 from the Holiday Gift Basket sales to funds being held for “Dames Who Donate” program. She said we should try to keep the fund amount simple, so no odd dollars and cents.
In 2016 Linda McDole audited the LDEI books. She charges approximately $10/hour to do the audit. Kay ask for approval to have the 2017 books audited. Kay estimates it will probably cost $200 to max $300. Holly said that we should have that in the budget. Kristen moved to approve all of the above and Kay second the motion.
Holly suggested that we have board meetings at different venues where we can enjoy ourselves after the meeting. Approval was given to appropriate $250/meeting with approximately 8-9 board members attending. An short or over the $250/meeting can be rolled over to future meetings. Holly also suggested we have a meeting every other month instead of every month.
Approval was needed for financial documents: budget, P&L, Blance Sheet, Reconciliations, and check register that were submitted by Kay via e-mail to the board. Satomi approved and Holly second all of the above.
ELECTIONS COMMITTEE 2018-2019
Open Seats to be filled for June 1st
President: Kristin agreed to step up from VP to President
Vice President: Open
Treasurer: Kay’s term expires and she will not renew. Position will be Open.
Secretary: Satomi Goo will take over position
2 Board Seats: Satomi and Jacquie are finishing their 2 year term.
Gida continues on as a board member. Suggestion was made to find an outer island Dame to
be on the board.
February 18 at 3pm. Holly’s house for the meeting and then at 4 pm have an ALL DAMES pizza potluck. Everyone should bring a topping for the pizzas.
ANNUAL MEETING/NEW MEMBER INDUCTION
Holly opened the discussion on where we want to have our Annual Meeting and New Member Induction.
We should consider doing it in May or June.
Suggestion for a venue was Halekulani for their Tea Party. Need to call Joel for available dates.
Need to set up a committee. Holly will ask Dianne if she wants to be on the committee.
We usually have the dinner in November, Veteran’s Day weekend. Suggestion was to do it on
November 28th. That gives enough time to recover after the Seattle Conference October 10-14.
A lot of us should go to support Hayley who is the new President of LDEI.

It came up that Maui Dames asked if LDEI can pay for LeeAnne Wong’s airfare to do an event with them. The chapter has never done that and Holly felt that we shouldn’t start something that we haven’t done before. Also, LeeAnne is moving to Maui soon. Suggestion was made that the Maui Dames should do the event after she moves there.
Soleil might like to do a cheese class.
TAG SALE WITH SLOW FOODS
Kathi is meeting with Lori at Slow Foods.
Clare Bobo used to oversee membership. We need someone who knows a lot of people.
Maria Tucker’s name came up and it was suggested that maybe she can work with Clare on membership.
